ADP & Associates, Inc. (“ADP,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect your personal information when you visit our website or communicate with us by phone, email, SMS, or online forms.

1. Categories of Personal Information We Collect

We may collect the following information directly from you:

  • Contact details: Name, email address, and phone number (including mobile number).
  • Project information: Property address, inspection details, and related documents you provide.
  • Payment information: Credit card details (only when you authorize a transaction).
  • Communications: Messages or forms submitted through our website or by email/SMS.
  • Technical information: IP address, browser type, device type, and limited usage analytics.

Third-Party Form Platforms
We use secure online forms hosted by Asana and Jotform to collect inspection requests, payment authorizations, and project information. Information you submit through these platforms is transmitted and stored securely by those providers before being delivered to ADP & Associates.

Payment Options
You are not required to provide credit card information through our online forms. As an alternative, you may provide payment details directly over the phone to our project manager.
In either case, payment information is collected solely to authorize and process approved transactions and is handled securely.

Payment data is processed and stored within our trusted third-party systems, QuickBooks (Intuit) and eBizCharge, both of which maintain PCI-DSS–compliant environments (see Section 8). ADP & Associates does not store or retain payment card data outside these secure systems. Access within those platforms is restricted to authorized ADP staff performing payment-related duties only.

2. How We Use Your Information

We use your personal information to:

  • Process inspection and certification requests.
  • Communicate scheduling, updates, and deliverables.
  • Respond to inquiries and provide customer support.
  • Process authorized payments through secure third-party processors.
  • Improve our services, operations, and website functionality.

If you provide a mobile number, you may receive SMS messages from ADP staff related to your inspection or service. You may opt out at any time by replying “STOP” or emailing in**@******oc.com.

3. Sensitive Data

Certain information—such as payment details—may be considered “sensitive” under Florida, Texas, and U.S. privacy laws.
By submitting this data, you consent to its use strictly for authorized payment and service-related purposes. ADP does not sell or share sensitive data for marketing purposes.

4. Information Sharing

We do not sell or share your information with third parties for marketing purposes.
We only share personal information when necessary to:

  • Fulfill inspection or engineering requests (e.g., with lenders, inspectors, or installers).
  • Enable our employees and contractors to perform operational duties.
  • Utilize trusted third-party service providers such as secure form and payment processors (see Section 8).
  • Comply with legal obligations or protect our rights.

All third-party access is governed by confidentiality and data protection obligations.

5. Data Retention

We retain personal information, project records, inspection reports, communications, and other documentation for as long as reasonably necessary to:

  • Fulfill our contractual and professional obligations;
  • Defend or pursue claims, audits, or insurance matters;
  • Comply with applicable laws, regulations, licensing, and recordkeeping requirements;
  • Support client service, maintenance, or warranty obligations.

Because our inspection reports, related documents, and project files are considered legal and engineering records, we typically retain them for a minimum of seven (7) years, or longer if required by law, regulation, contract, or professional licensing obligations.

With respect to payment card data, we do not store it outside our PCI-compliant third-party processors (QuickBooks and eBizCharge). Payment data remains within those secure systems, and ADP does not export or locally retain a separate copy.

6. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information.
However, no online transmission or storage system is entirely secure. By submitting information, you acknowledge and accept this inherent risk.

Access to Payment Information
Authorized ADP staff may access limited payment information within our payment platforms as needed to manually process or verify transactions. Such access is restricted to personnel performing payment-related duties and is subject to confidentiality and data protection obligations.

7. Cookies and Analytics

We may use limited cookies or analytics tools to improve website functionality and understand usage trends.
You can adjust your browser settings to block cookies, though some site features may not function properly.

If we introduce new tracking technologies, this policy will be updated to reflect those changes.

8. Third-Party Platforms & Payment Processors

We use secure, reputable providers to collect and process information. Each platform maintains its own privacy policy, which we encourage you to review directly.

  • Opt out of targeted advertising or data sharing (we do not currently engage in either).

10. Children’s Privacy

Our website and services are not directed toward children under 13.
We do not knowingly collect or maintain personal information from minors.
If you believe a child has provided information to us, please contact us immediately to request deletion.

11. Limitation of Liability

To the maximum extent permitted by law, ADP & Associates, Inc. shall not be liable for any indirect, incidental, or consequential damages arising out of your use of our website or the submission of personal information.

12. Governing Law

This Privacy Policy is governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law principles. For matters relating to data privacy and consumer rights, ADP & Associates, Inc. also complies with the Texas Data Privacy and Security Act (TDPSA), which provides additional protections to Texas residents.

We may update this Privacy Policy periodically. Updates will be posted on this page with the revised effective date.
